Information We Collect

We may collect business contact information, owner name, email address, phone number, business address or service city, selected business number, service categories, working hours, customer phone numbers, customer names, service addresses, issue descriptions, appointment preferences, urgency, message history, call event records, lead status, and account activity.

Payments are processed by Stripe. We do not store full card numbers on our servers.

How We Use Information

We use information to provide the HVAC Agent service, create and manage accounts, route SMS conversations, respond to missed calls, generate AI receptionist replies, capture leads, send lead notifications, provide support, process subscriptions, improve reliability, and protect the platform from abuse.

Service Providers

We may share information with service providers that help us operate the service, including hosting, database, payment, communications, email, analytics, security, and customer support providers. These providers may process information only as needed to provide services to us.

SMS Communications

Users may opt in to receive customer care and service coordination SMS messages by checking the consent box on onboarding or by initiating a text conversation, phone call, website form, or related service request. Messages may include onboarding updates, customer care replies, missed-call follow-up, appointment scheduling, and related support.

Mobile opt-in information and SMS consent data will not be shared with third parties or affiliates for marketing or promotional purposes.

Cookies and Analytics

We use essential cookies for authentication, security, and session management. If we add non-essential analytics or advertising cookies later, we will update this policy and provide any required choices.

Data Retention

We keep account, conversation, lead, billing, and operational records for as long as needed to provide the service, comply with legal obligations, resolve disputes, and enforce our agreements.

Your Choices

You may request access, correction, or deletion of your information by contacting us. Some information may need to be retained for legal, security, billing, or operational reasons. SMS recipients may reply STOP to opt out and HELP for help.

Children

HVAC Agent is intended for businesses and is not directed to children under 13. We do not knowingly collect personal information from children under 13.
